Receptionist/Office Manager

We are seeking a high energy, detail-oriented Receptionist/Office Manager to ensure the smooth running of an office. This is a full-time, on-site position in Bethesda, MD.

Main Duties and Responsibilities:

  • Answer company phones and greet visitors.
  • Organize, prioritize, and handle/process multiple, sometimes competing, requests.
  • Control visitor flow of office.
  • Maintain office security systems.
  • Prepare office space for moves, new equipment and allocate space requirements for new employees.
  • Assist with event planning (e.g. offsites, workshops, conferences, internal team events, etc.).
  • Maintain overall appearance of the office.
  • Oversee Mistral’s IT, including printers and phone systems and train employees on use of office equipment.
  • Draft office procedures relating to common use equipment and space.
  • Take inventory of supplies and office needs, and purchase supplies as approved by supervisor.
  • Assist HR representative, senior management, and office personnel as needed.
  • Package orders for shipment.
  • Arrange for refreshments for meetings.
  • Act as liaison with building management.
  • Other duties as assigned by Management.

Job Requirements:

  • Working knowledge of Microsoft Office 365.
  • Ability to think quickly, multi-task effectively, and be detail oriented.
  • Ability to quickly recognize the impact of decisions on the company.
  • Ability to present a professional image as a company representative.
  • Ability to delegate tasks and follow up.
  • Requires a high level of positive energy and organizational skills.
  • Ability to maintain confidentiality, diplomacy and discretion in all dealings with clients and staff.
  • Ability to work as a team player.
