Position Summary

PosAbilities Center is seeking a Paid Finance & Bookkeeping Intern / Business Operations Intern to support supervised finance and business operations projects. This internship is designed for students interested in accounting, finance, business administration, healthcare administration, nonprofit administration, management, data analytics, or related fields.

The intern will gain practical experience in small-business bookkeeping, financial documentation, accounts payable, accounts receivable, reconciliation preparation, payroll documentation review, grant documentation, and financial file organization. This position is designed as a structured learning opportunity with supervision, mentorship, and feedback.

This is a paid internship and seasonal employee role. Interns are paid through payroll and are not classified as independent contractors.

Learning Objectives

  • By the end of the internship, the intern will gain exposure to and develop foundational skills in:
  • Small-business bookkeeping;
  • Financial source document organization;
  • Accounts payable and accounts receivable workflows;
  • Reconciliation preparation;
  • Payroll documentation review;
  • Grant reimbursement documentation;
  • Financial reporting basics;
  • Internal controls, confidentiality, and ethical financial practices;
  • Business operations within a human services organization.

Essential Responsibilities

The intern may assist with the following under supervision:

  • Organize receipts, invoices, vendor records, reimbursement records, and financial source documents;
  • Assist with reviewing and categorizing transactions in QuickBooks Online under supervisor review;
  • Support accounts payable documentation, including invoice tracking and vendor records;
  • Support accounts receivable documentation, including invoice tracking, payment matching, and aging report review;
  • Prepare bank and credit card reconciliation materials for review;
  • Assist with payroll documentation review by comparing approved schedules, timesheets, and payroll summaries;
  • Prepare draft financial summaries, expense reports, transaction detail reports, and budget-versus-actual summaries;
  • Support grant reimbursement documentation, including wage documentation and supporting records;
  • Help maintain organized digital financial files;
  • Assist with development of finance-related standard operating procedures;
  • Participate in supervision meetings and receive feedback on accuracy, organization, and professionalism.
  • Under supervision, submit claims for processing 
  • Under supervision, reconcile claims submission, payments
  • Under supervision, prepare Claims and Financial Reporting.

Qualifications

Required:

  • High school diploma or GED;
  • Current enrollment or intent to enroll in the upcoming semester at a Virginia college or university for InternshipsVA-supported positions;
  • Interest in accounting, finance, business administration, healthcare administration, nonprofit administration, management, data analytics, or a related field;
  • Strong attention to detail;
  • Ability to handle confidential information professionally;
  • Basic computer skills, including Microsoft Excel, Google Sheets, or similar spreadsheet tools;
  • Willingness to learn QuickBooks Online or other bookkeeping systems;
  • Completion of required onboarding and confidentiality training.

Preferred:

  • Coursework in accounting, finance, economics, business, analytics, or management;
  • Experience with Excel, Google Sheets, QuickBooks, or financial software;
  • Strong organizational skills;
  • Ability to identify discrepancies, ask questions, and follow documented processes;
  • Interest in small-business finance, nonprofit finance, healthcare administration, or human services operations.

Intern Role Limitations

The intern may assist with finance and bookkeeping support, but may not independently:

  • Approve expenses;
  • Sign checks;
  • Initiate or release payments;
  • Process payroll independently;
  • Modify payroll rates;
  • Access banking systems without explicit authorization and supervision;
  • File taxes;
  • Submit official financial reports;
  • Make final accounting decisions;
  • Submit grant reimbursement requests without supervisor approval.
  • All work must be reviewed by the Executive Director or designated supervisor before being finalized or used for official purposes.

Confidentiality Expectations

This role may involve access to sensitive business, employee, payroll, vendor, financial, and operational information. The intern must maintain strict confidentiality, complete required confidentiality training, and follow all PosAbilities documentation and records-management procedures.
